Should you build custom software or buy SaaS?

A practical way to compare an existing product, a small integration and a bespoke build.

Buy when the process is standard

If an established product supports your essential workflow, buying can be the simplest route. Trial it with a real scenario and the people who will use it. A long feature list matters less than whether a complete piece of work can move through the system without awkward detours.

Build when the differences matter

Custom software merits consideration when an unusual workflow is important to your service, permissions are complex or staff repeatedly work around product limitations. Distinguish genuine constraints from preferences: changing a familiar process can be cheaper and better than recreating it.

Compare the whole commitment

Include configuration, data migration, integrations, training, subscriptions, support and the ability to export your data. For a custom build, ask who maintains it and what happens if your delivery partner changes. Compare the options over the same period with the same assumptions.

Consider a third option

A focused internal tool can connect products you already use. Map where information should be owned, how failures will be spotted and who resolves conflicts. A small integration may remove the most expensive workaround without replacing the entire system.
