Five signs your business has outgrown its software

Operational symptoms that suggest it is time to review how your systems fit together.

Listen for recurring workarounds

Five useful signals are repeated data entry, unofficial spreadsheets, slow reporting, unclear task ownership and customers chasing updates by email. Any one may have a simple explanation. A pattern across teams is worth investigating.

Find where the work leaves the system

Ask people to show the last job they completed, including the messages and notes around it. The moment they open a separate spreadsheet or send a reminder often reveals a missing handover, view or rule.

Check configuration before replacement

Review whether the existing product already supports the missing behaviour. Teams may need a shared process, a configuration change or training rather than new software. Check whether a small connection between systems removes the duplication.

Prioritise by consequence

Choose the workaround with a clear owner, frequent use and a measurable cost. Test a targeted improvement with a small group. Avoid replacing every system at once without a migration and fallback plan.
